Terms of Service

These Terms of Service ("Terms") govern your access to and use of Credentia (the "Service"), a college management platform operated for SRM Institute of Science and Technology ("SRM University," "the Institution"). By accessing or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.
1. Eligibility and Accounts
1.1 Who Can Use Credentia
The Service is available to authorized students, faculty members, and placement managers of SRM University. Accounts are created through self-registration with a valid institutional email or provisioned by an administrator.
1.2 Account Responsibilities
- You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.
- You must provide accurate and truthful information during registration and keep your profile information up to date.
- You must not share your account credentials with any other person or allow another person to access the Service through your account.
- You must notify the platform administrators immediately if you believe your account has been compromised.
1.3 Single Session Policy
Credentia enforces a single active session per account. Signing in on a new device will automatically terminate your previous session. This is a security measure to prevent unauthorized access.
2. Acceptable Use
2.1 Permitted Use
You may use Credentia only for its intended purposes: managing your academic profile, submitting forms, tracking achievements, attending classes, and participating in placement activities as applicable to your role.
2.2 Prohibited Conduct
You agree not to:
- Submit false, misleading, or fraudulent information, including fabricated achievements or forged certificates
- Attempt to gain unauthorized access to other users' accounts, data, or administrative functions
- Reverse engineer, decompile, disassemble, or otherwise attempt to discover the source code of the Service
- Use automated scripts, bots, or crawlers to access or scrape the Service
- Interfere with or disrupt the Service, its servers, or networks, including through denial-of-service attacks or excessive API requests
- Upload malicious files, malware, or any content designed to damage or compromise the platform
- Use the Service in violation of any applicable law, regulation, or institutional policy
- Circumvent rate limits, security measures, or access controls implemented by the platform
- Share, distribute, or publicly disclose data obtained through the Service without proper authorization
3. Content and Data
3.1 Your Content
You retain ownership of the content you submit to Credentia, including profile information, documents, certificates, and form responses. By submitting content, you grant the Institution a non-exclusive, royalty-free license to use, store, process, and display your content as necessary to operate the Service and fulfill its educational and administrative purposes.
3.2 Content Standards
- All content you upload must be accurate, genuine, and your own (or used with proper authorization).
- Certificates and achievements must be authentic. Uploading forged, altered, or fraudulent documents is strictly prohibited and may result in disciplinary action by the Institution.
- Uploaded documents must not contain malicious code, hidden text, or steganographic content.
3.3 Verification and Review
Content submitted to Credentia, including achievements and form responses, is subject to review and verification by faculty members and administrators. AI-assisted review tools may be used to support the verification process. The Institution reserves the right to reject, remove, or flag content that does not meet authenticity standards.
4. Role-Specific Terms
4.1 Students
- You are responsible for maintaining an accurate and complete profile to benefit from features like form auto-fill and placement services.
- You must respond to faculty forms by their specified deadlines.
- Achievement submissions are subject to faculty review and may be approved, rejected, or returned for revision.
4.2 Faculty
- You are responsible for appropriately managing the classes you create and the forms you distribute.
- Student data accessed through the platform must be used exclusively for legitimate academic and administrative purposes.
- You must exercise fair judgment when reviewing and verifying student submissions.
4.3 Placement Managers
- Student profile data and resumes accessed through placement features must be used exclusively for placement and career services purposes.
- AI-generated ATS scores are advisory tools. Final placement decisions should involve human review and judgment.
5. Attendance Features
5.1 PDF-Based Attendance
Faculty may upload attendance PDFs for processing. The extracted data is used to calculate attendance percentages and generate reports. Students and parents may receive automated email notifications regarding attendance records.
5.2 Live Attendance with Face Recognition
Live attendance sessions may use face recognition technology for verification. Participation in face-recognition attendance is subject to the following:
- Face registration and recognition processing occurs client-side (in your browser). Raw images are not transmitted to or stored on the server.
- Only mathematical facial descriptors are stored for matching purposes.
- Location verification may be used during live attendance to confirm proximity to the class location.
6. Intellectual Property
The Service, including its design, source code, features, user interface, logos, and documentation, is the intellectual property of the Credentia development team and the Institution. You may not copy, modify, distribute, or create derivative works of the Service without prior written consent.
The Credentia name and logo are trademarks of the project. You may not use them without authorization.
7. Service Availability
7.1 Uptime
We strive to keep Credentia available at all times, but we do not guarantee uninterrupted access. The Service may be temporarily unavailable due to maintenance, updates, server issues, or circumstances beyond our control.
7.2 Maintenance Mode
Administrators may enable maintenance mode when system updates or critical fixes are required. During maintenance, the platform will be temporarily inaccessible. We will endeavor to minimize downtime and provide advance notice when possible.
7.3 Rate Limiting
To ensure fair use and platform stability, API requests are subject to rate limiting. If you exceed the allowed request rate, your access may be temporarily restricted. Repeated or intentional abuse of rate limits may result in account suspension.
8. Disclaimer of Warranties
The Service is provided on an "as-is" and "as-available" basis without warranties of any kind, whether express, implied, or statutory. We disclaim all warranties, including but not limited to warranties of merchantability, fitness for a particular purpose, accuracy, and non-infringement.
We do not warrant that:
- The Service will meet your specific requirements
- The Service will be uninterrupted, timely, secure, or error-free
- Results obtained from using the Service (including AI-generated scores and OCR outputs) will be accurate or reliable
- Any defects in the Service will be corrected within a specific timeframe
9. Limitation of Liability
To the maximum extent permitted by law, the Credentia development team, the Institution, and their respective officers, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to your use of or inability to use the Service. This includes, without limitation, damages for loss of data, academic opportunities, or placement outcomes, even if we have been advised of the possibility of such damages.
10. Account Suspension and Termination
- We reserve the right to suspend or terminate your account if you violate these Terms, engage in prohibited conduct, or if required by institutional policy.
- Administrators may delete accounts when students graduate, leave the institution, or when required for administrative purposes.
- Upon account deletion, all associated data is permanently removed in accordance with our Privacy Policy.
11. Changes to These Terms
We may modify these Terms at any time. When we make material changes, we will update the "Last updated" date at the top of this page. Continued use of the Service after changes are posted constitutes acceptance of the revised Terms.
12. Governing Law
These Terms are governed by and construed in accordance with the laws of India. Any disputes arising from or related to these Terms or the Service shall be subject to the exclusive jurisdiction of the courts in Chennai, Tamil Nadu, India.
13. Severability
If any provision of these Terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect.
